Meeting/Study Room Reservations

The Westminster Public Library is pleased to offer a variety of rooms for use and/or rental. Rooms are available at both College Hill and Irving Street. Download the Meeting/Study Room brochure.

Meeting Rooms

3/30/20: All meeting room reservations through May 31 have been canceled. New reservations will not be allowed during this time. This page will be updated if either of these conditions change.

Important reservation-related practices:

1. It is critical that you pick/create an organization when making a reservation. If you do not book in the name of your organization, people viewing the calendar will not know what room your meeting is in. If you do not provide an organization, WPL Schedulers may designate your personal name as the organization and that will appear on the calendar.

2. After making your reservation, you will receive a verification email from the library. Please make sure to verify your email address, or you will not receive any future communications.

COLLEGE HILL

Library Meeting Room L211 L 211 Multipurpose Room
Capacity: 80 lecture style or 50 classroom.
Fee: $60/hour. Make a reservation.
Equipment: white boards, DVD/Blu-ray, sound system, LCD projector with VGA connection. If needed, please bring an adapter for your device. Room set up is not guaranteed.
Library Meeting Room L107 L 107 Community Bancorp Multipurpose Room
Capacity: 50 lecture style or 30 classroom.
Fee: $50/hour. Make a reservation.
Equipment: white boards, DVD/Blu-ray, sound system, LCD projector with HDMI connection. If needed, please bring an adapter for your device. Room set up is not guaranteed
Library Meeting Room L200 L 200 Bruchez Conference Room
Maximum capacity = 14-18.
Fee: $40/hour. Make a reservation.
Equipment: Large conference table, white board, TV with DVD/Blu-Ray player and VGA connection. If needed, please bring an adapter for your device.
Library Meeting Room L167 L 167 Conference Room
Maximum capacity = 12-15.
Fee: $20/hour. Make a reservation.
Equipment: Conference table and white board.
College Hill Study Room College Hill 1st Floor Study Rooms
Five small group rooms are suitable for quiet study groups of six persons or less. Study rooms are available for those 12 and older. 1st floor study rooms require a reservation. Make an online reservation using D!bs up to two weeks in advance. For more information call 303-658-2603.

IRVING STREET

Irving Street Study Room Irving Street Study Rooms
Four small group rooms are suitable for quiet study groups
of six persons or less. Study rooms are available for those 12 and older. Irving Street study rooms require a reservation. Make an online reservation using D!bs up to two weeks in advance. For more information call 303-658-2303.

Reservation Guidelines and Policies for Meeting Rooms

Guidelines

  • Groups may book a maximum of six reservations within a 90 day period.
  • Groups may book 90 days out.
  • Reservations should include set up and take down time.
  • Every effort will be made to accommodate a room setup request, but it cannot be guaranteed.

Policies

  • Meetings may begin 30 minutes after the library opens and must end 30 minutes prior to closing. There is no access to the library before or after posted hours of operation.
  • Groups must abide by the library Standards of Acceptable Use.
  • There is a flat fee structure for all groups.
  • Room fees are due on the day of the meeting, prior to start of meeting. Fees to be paid at College Hill 1st Floor Circulation Desk or Irving Street Circulation Desk. Unpaid balances will revoke reservation privileges.
  • Patrons must be 16 and older to reserve meeting rooms.
  • All meetings shall remain open to Library Staff.
  • No alcoholic beverages are permitted in the library without the express consent of the college.
  • The Library is a tobacco-free facility.
  • Patron/group is responsible for any damage to library meeting room property.
  • The Library cannot store any group’s equipment, etc. and is not responsible for materials or equipment left in the library by users.
  • Permission to use meeting rooms does not constitute an endorsement by the Library of the group’s beliefs or policies.
  • The Library reserves the right to revoke meeting room privileges at any time.

Reservation Policies for Study Rooms

  • Reservations are required to use the library study rooms.  A full name and a valid email address will be needed to book a room.
  • Study rooms can be booked for up to two hours by using the D!bs booking software. 
  • Patrons may book up to four hours per day by completing two separate reservations
  • Reservations can be made up to two weeks in advance.
  • Patrons may use an empty study room, but reservations take priority.
  • The Library reserves the right to revoke room privileges if the patron does not follow the study room policies or the Standards of Acceptable Behavior.
  • College Hill study room L155, L156, L157, L158, L168 are available:
    • Monday – Thursday, 9:30 a.m. – 7:30 p.m.
    • Friday 10:30 a.m. – 4:30 p.m.
    • Saturday and Sunday, 1:30 p.m. – 4:30 p.m. 
  • Irving Street study rooms A,B,C, and D  are available: 
    • Monday – Wednesday 9:30 a.m. – 7:30 p.m.
    • Thursday 9:30 a.m. – 4:30 p.m.
    • Friday and Saturday 10:30 a.m. – 4:30 p.m.
    • Sunday 1:30 p.m. – 4:30 p.m.

Help with Technology Set Up in Meeting Rooms

If you have not used the projector before, we strongly recommend meeting with an Automation staff member sometime before your meeting to make sure your equipment is compatible with our projector. Please indicate in your reservation that you would like help. Note: Technology staff may not be available on the day of your reservation to help solve a problem. Don't let equipment issues disrupt your meeting- please, plan ahead.
